Privacy Policy

This Policy describes how the Nigeria Shooting Sport Federation handles personal information in connection with the NSSF membership and licensing portal. It should be read together with the NSSF Constitution, Code of Conduct, and Terms of Service.
1. Who we are
The Nigeria Shooting Sport Federation ("NSSF", "the Federation", "we", "us") is the sole national governing body for shooting sport in Nigeria, with headquarters at the National Shooting Range, National Stadium Sports Complex, Package B, Abuja, FCT, Nigeria. This Privacy Policy explains how we collect, use, store, and protect personal information when you use the NSSF Portal (stg.nssf.org.ng / www.nssf.org.ng) and related membership, licensing, payment, and verification services.
2. Information we collect
Depending on how you use the Portal, we may collect: • Account details — email address, password (stored hashed), phone number, and authentication records. • Identity and membership data — name, title, date of birth, gender, nationality, state of origin, residential and office addresses, National Identification Number (NIN) or NIN hash, profile photograph, emergency/guardian contacts, membership category (class), club affiliation, and shooter ID. • Documents and media — identity documents, medical fitness reports, proficiency evidence, and other uploads required for registration, licensing, or vetting. • Payments — payment references, amounts, gateway status, and membership/invoice history (card details are processed by our payment partners; we do not store full card numbers). • Licensing and compliance — licence applications, endorsements, vetting outcomes, activity records, and disciplinary/safeguarding information where lawfully required. • Technical data — IP address, device/browser type, cookies/session tokens, and security audit logs needed to operate and protect the Portal.
3. Why we use your information
We process personal data to: • Create and manage member accounts and verify email addresses. • Admit members, issue shooter IDs, certificates, and membership status consistent with the NSSF Constitution and regulations. • Process membership fees and other payments. • Administer licensing, endorsements, medical fitness, and related workflows. • Communicate about your account, payments, membership expiry, and Federation programmes. • Enforce safety, discipline, ethics, safeguarding, and anti-doping obligations under the Constitution (including Articles 10–12 and applicable Schedules). • Detect fraud, secure the Portal, and meet legal or regulatory obligations (including the Firearms Act of Nigeria and sports-governance requirements). • Improve Portal reliability and user experience using aggregated or de-identified analytics where practicable.
4. Legal bases and sensitive data
We process your information because it is necessary to perform our membership contract with you, to comply with legal obligations, and/or for legitimate interests in governing shooting sport safely and fairly in Nigeria. Certain data (for example NIN, biometric-related identity checks, medical fitness, and safeguarding reports) is sensitive. We collect it only where required for membership, licensing, safety, or safeguarding, and we restrict access to authorised roles.
5. Sharing and disclosure
We may share information with: • Affiliated clubs, State Associations, and Federation officials involved in membership, endorsement, or licensing workflows. • Payment processors (e.g. Flutterwave, Ceviant) to complete transactions. • Competent public authorities, police liaison, National Sports Commission, anti-doping bodies (NNADC/WADA frameworks), or courts where required by law or the Constitution. • Service providers who host or support the Portal under confidentiality and security commitments. We do not sell your personal information.
6. International transfers and storage
Portal infrastructure may be hosted on cloud platforms outside Nigeria. Where data is transferred internationally, we take reasonable steps to ensure appropriate safeguards consistent with applicable Nigerian data-protection expectations and our security practices.
7. Retention
We retain membership, licensing, payment, KYC/identity verification, and audit records for as long as needed to administer membership, meet legal and regulatory retention needs (including financial and anti-money-laundering oriented periods), resolve disputes, and enforce the Constitution. If you close your Portal account, we disable portal access and anonymise certain display details. Required records (such as payments, identity verification, and audit logs) may be retained for statutory periods (commonly up to seven years from closure for the portal retention schedule, with longer or shorter windows applying by record type under Nigerian law and Federation policy). Hard deletion of retained records, where permitted, is controlled and may be blocked by a legal hold. When data is no longer required and legal holds do not apply, we delete or further anonymise it where feasible.
8. Security
We use technical and organisational measures including encrypted transport (HTTPS), hashed passwords, role-based access, session controls, and audit logging. No method of transmission or storage is completely secure; please protect your login credentials and notify us of suspected unauthorised access.
9. Your rights and choices
Subject to applicable law and Federation regulations, you may request access to, correction of, or closure/deletion of certain personal data, or ask questions about how we process it. You can update much of your profile information in the Portal. Some fields (such as verified identity attributes or disciplinary records) may be restricted. You may close your Portal account from Settings. Closure disables access and anonymises certain display details; legally required records may still be retained as described in Section 7. To exercise privacy rights, contact the Secretariat at the Federation headquarters or via the Portal contact channels. We may need to verify your identity before responding.
10. Children and safeguarding
Junior membership and participation involving minors are subject to guardian consent and the Federation’s safeguarding framework (Constitution Article 11 and Schedule 5). We process minors’ data only as needed for membership, safety, and safeguarding.
11. Cookies and similar technologies
We use essential cookies/session storage for authentication, staging access controls (where enabled), and security. Disabling essential cookies may prevent the Portal from functioning.
12. Changes
We may update this Privacy Policy from time to time. Material changes will be reflected by updating the effective date on this page. Continued use of the Portal after changes constitutes acceptance of the updated Policy where permitted by law.
